Health and Wellness Expo Vendor Terms and Conditions

1. Introduction
This document outlines the terms and conditions for vendors participating in the Vaughan In Motion Health and Wellness Expo (hereinafter referred to as "Expo"). By applying for and securing a vendor space, the vendor (hereinafter referred to as "Vendor") agrees to comply with the following terms and conditions.

2. Vendor Eligibility
Vendors must provide products or services related to health, wellness, fitness, nutrition, or related fields. The Expo reserves the right to refuse participation to vendors that do not align with the Expo’s theme or values.

3. Booth Assignment and Usage
- The Expo will assign booth spaces at its discretion, taking into account the nature of the Vendor’s business and any specific needs or requests.
- The booth is 10 x 10 with white drapes 8ft tall for back and 4ft for sides.
- Each booth has an option of either 6ft or 8ft table with option of 2 chairs. Table cloth will be provided in black
- Vendors are responsible for the setup, maintenance, and breakdown of their booths.
- Booths must be staffed at all times during Expo hours.

4. Payments and Refunds
Payment is due within within 3 business days after approval of application. If you fail to make payment in accordance with these terms and conditions the organisers may cancel your booking without notice. If your booking is cancelled for breach of this term you agree to pay a lost opportunity fee equivalent to the full invoice value. Refunds are not available except under exceptional circumstances, at the discretion of the Expo organizers.

5. Insurance and Liability
- Vendors are responsible for their own insurance. Vaughan In Motion, Health and Wellness Expo will not be liable for any loss, theft, or damage to the Vendor’s property.
- Vendors must indemnify and hold harmless the Health and Wellness Expo and its organizers from any claims related to their participation in the Expo.

6. Conduct
- Vendors are expected to conduct themselves in a professional manner that reflects well on the Expo.
- The sale of counterfeit or illegal products is strictly prohibited.
7. Cancellation Policy
- The Expo reserves the right to cancel the event due to unforeseen circumstances. In such a case, efforts will be made to reschedule, or partial refunds may be offered.
- Vendors who wish to cancel their participation must notify the Health and Wellness Expo organizers in writing at least 60 days before the event. Cancellation fees may apply.

8. Compliance
- Vendors must comply with all municipal laws pertaining to their business operations and the sale of their products.

9. Amendments
The Expo organizers reserve the right to amend these terms and conditions as necessary. Vendors will be notified of any changes in a timely manner.

10. Agreement
Participation in the Expo constitutes the Vendor’s acceptance of these terms and conditions.

11. Removal of Exhibits of Booth
No exhibit can be dismantled, packed away or removed until the event has finished at 6:00pm. The exhibitor must ensure that all exhibits are removed from the premises by 7:00pm on the day of the event. Failure to do so may render him liable for all costs incurred in storing and handling the said exhibits together with additional site rental costs imposed by the venue and/or their contractors. No exhibitor may dismantle, pack up or abandon their space prior to the advertised closure time.
